Carnegie Building Meeting Room Guidelines
This policy has been adopted by the Library Board to fairly allocate meeting room space among the many community organizations, groups and businesses that wish to use the Carnegie facilities. The Carmegie Building is available to organizations and businesses for educational, cultural, civic, public, informational and private purposes.
- The Carnegie Building is available 7 days a week. Library programs will receive priority, but the library encourages other groups to use the space when it is not needed for library related activities.
- The building is open for use by non-profit groups, for-profit groups and individuals 21 and older. Use of the building by persons under 18 must be supervised at a ratio of 1 adult to 6 youths.
- Requests for room reservations must be made in writing by filling out an application form (see link at bottom of this page for printable form). The library does not guarantee that the requested room or time will be available. Space is reserved on a "first come, first served" basis. Fee payment must be received at the time of the reservation. Cancellation of a reservation should be made to the library a minimum of 24 hours in advance. Groups that fail to notify the library of cancellation may lose their deposit and the privilege of scheduling space in the future.
- All library facilities are smoke and flame free.
- Food may be served. The Carnegie Building has two kitchenettes that are designed to serve prepared food, not to prepare food. The group using the facility must provide dishes, utensils and supplies.
- Meeting room set-up is the responsibility of the applicant. The room must be returned to its original condition after use. Items to be displayed shall not be taped or tacked to walls or moldings. The library is not responsible for the security of items used or displayed by groups. Items may not be stored in the building.
- Granting permission for the use of the facility does not imply Petoskey District Library approval of the group or its ideas.
- Advertisements for meetings held in the Carnegie Building may not be displayed in such a manner as to suggest library sponsorship.
- No organization shall use the Carnegie Building as its official address.
- Library staff is not required to be on site during any event. Users are responsible for the safety and security of the building and those in it.
- All equipment and technical support are the sole responsibilities of the user.
- There will be a limit of 6 bookings for the space to any one group per month.
- Building capacity is 250.
- Potential users are encouraged to tour the building by appointment.
- The organization or group waives the library's liability for any personal injury to persons attending the function while on the library's premises and agrees to follow the library's rules and regulations governing the use of the library's facilities.
- The library will not be held responsible or liable for any damages, injuries or deaths resulting from the serving of alcoholic beverages to persons attending the function.
Fee Schedule
Fees must be paid at time of reservation.

One Room Half Day (four hours or fewer)
Non Profit $60 ($70 with food)
For Profit $210 ($240 with food)
One Room Full Day (more than four hours)
Non Profit $120 ($140 with food)
For Profit $300 ($350 with food)
Non Profit $250 ($450 with food)
For Profit $500 ($700 with food)
Whole Building Full Day (more than four hours)
Non Profit $500 $(700 with food)
For Profit $700 ($900 with food)
DEPOSITS
Deposits should be paid by separate check at the time the keys to the Carnegie are picked up. After the building is inspected by Library Staff and user, the deposit will be returned providing the building was left in satisfactory order.
$ 50.00 deposit for any meeting without food or drink (except water. Coffee is considered a food/drink because it stains.)
$100.00 deposit for one to twenty-five (1 to 25) people with food and/or drink.
$250.00 deposit for more than twenty-five (25) people with food and/or drink.
If you arrive for your event and the area was left untidy, please call the main Library at 758-3121and leave a message, if after hours 347-9010, so the previous group can be billed accordingly.
Please remember to pick up meeting room and kitchenette area before leaving your meeting.
Cleaning supplies are located in the cupboards above the sinks in each kitchenette.
The refrigerator on the lower level is available for your use during your event. Any items remaining will be disposed of by the Library and there will be a charge of $5.00.
EMERGENCIES
Any emergency issues – plumbing, flooding, electrical, securing the building – can be reported to the Library at 758-3100 during regular hours of operation. After hours call 347-9010.
Remember to:

□ □ Wipe out any refrigerator spills, if not done, $5.00 charge.
□ □ Wipe down any tables that were used, if not done,
$5.00 charge.
□ □ Wipe down counter and sink, if not done, $5.00 charge.
□ □ Empty coffee grounds and wipe down coffee maker and rinse
pots, if not done, $5.00 charge.
□ □ If a spill should occur, please wipe up hard floors so no residue
remains. If spots on carpet don’t come up, use spray carpet
cleaner and wipe. If stain remains, you will be charged
$25.00 for carpet cleaning.
□ □ Vacuum carpeted areas – vacuum is on first floor small closet to
right of kitchenette. Hard floors need to swept/dry
mopped/wet mopped accordingly – broom, dustpan, dry mob
and wet mop and bucket are in hallway to the righ of the
Men’s Room. If not done, $10.00 charge
□ □ Please remove trash from all receptacles used. There is a trash
tote on the 3rd floor of the connector. If that should be missing
or full, take your trash to the outdoor trash totes behind the
□ □ Failure to lock all doors on your departure from the building
after your event, will result in the Library keeping your $50.00
deposit. This could result in loss of privilege of using the space
in the future. The key is to be returned to the Petoskey Public
Library -- to the Circulation Desk during business hours and in
the drop box at the front door of the Library Building, 500 East
Mitchell, Petoskey, MI 49770.
